Points to be aware of:
- If the person is both a Contact and a Candidate, you can select which of the two record types the update is for using the As a... field. If candidate is selected, the email will go the contacts personal email address. If client contact is selected, it will go to their work email.
- Changing the duration of the meeting will automatically adjust the end time.
- The Regarding field is used to relate activities (in this case Appointment) to a record timeline. If you change this it will not appear on your Client/Contact Timeline, unless they are in one of the attendees added to the Required or Optional fields.
- The status of the Appointment is Open. Once saved, the Appointment status will become scheduled.
- Appointments are only sent to the required/optional attendees where the meeting is in the future, not when retroactively added to appointments in the past.
- Whoever is in the Required field will receive the Appointment Description via email automatically when the Appointment is saved. If you do not want to send an email, make sure the Required and Optional fields are left blank:
Appointments can then be seen directly within the Timeline.
Click on the Open Record icon.
From here you can make amendments to the Appointment and send the Appointment details to the contact by clicking on either Email Candidate or Email contacts/clients. Once the Email has been sent this will appear on the contact's timeline.
NOTE: Any changes to the Appointment will trigger an email to the contact in the Required field. Changes made in Mercury sync to Outlook and vice versa; if you make a change in Outlook, this will sync back to Mercury (this can take up to 15 minutes).
