Export Placement data with InTime/EverTime

Export Placement information outside of Mercury.

What 

Take any Placement data to generate pay and billing information to submit to relevant third party/parties. This information can be generated within a CSV file or via API. 

NOTE: The Security Role called Mercury – Can export Timesheet Data needs to be assigned to all required Users. 

 

Where 

Placement Record > top navigation bar > Export

 

How 

Exporting is only available within individual Placements that have already been approved. See Placement Approval for more information. 
 

Within a Placement top-navigation bar, click Export.

 

Via CSV

Timesheet CSV can be used with both InTime and Evertime. Users can export Placement details and generate an excel file to upload to InTime or Evertime manually (depending on config).

If selecting Export for the first time, this below message will show;

However, if Export Rows already exist, the below message will show; 

NOTE: Selecting Export again resends the Placement in full to RSM.

Via InTime API

Model with reference API. A file is not generated, and information is sent directly to InTime. 

 

Integration Status

Before Export Rows are created, the Integration Status under the Timesheets & Expenses tab of a Placement will be New

During the export, this will update from New > Processing > Successfully Sent.

If deleting existing and creating new export rows, any existing Export Rows at statuses: New, Ready for Processing, or Ready to send will be set to Cancelled. New ones will be created based on the data from the Placement. There is a periodic deletion of Cancelled Export Rows which occurs every month.

If the Placement fails to send to RSM, the Integration Status will show as Failed to Send. Any additional information is within the Integration Fields section in the Timesheets & Expenses tab. 

 

 

Changes to Placement 

  • When a Placement is set back top Pending the Integration Status will be set back to New
  • Any extended Placements will also “reset” the Integration Status and this will be set to New
  • This will also be applied when a Placement is cloned.
