Introduction
This new report gives visibility of all active vacancies being worked with and how they are progressing. View high level information across vacancies, detailed breakdowns of progress for vacancies across time and/or types, and drill down to view individual shortlist data.
Using this report helps identify which vacancies can be filled quickly, which have stalled in progress or have aged without becoming a placement, and identify what is required to fill outstanding positions.
Report Highlights
- Focuses on active vacancies only (with the option to include/exclude speculative vacancies).
- Sort and view column charts vacancies by age, shortlist update age, furthest status, and/or classification to find and action vacancies by selected priority.
- On the ‘Progress’ page, the progress bars show the furthest stage reached by each vacancy. Select from the column charts to filter results.
- On the ‘Stats’ page view more numerical data for each vacancy; the number of Candidates within each Vacancy status, and the largest number of days taken to move from one status to the next.
- Drill through to vacancy shortlists for granular information; date information specific to the vacancy including the start date, and individual Candidate information including shortlist status and last contacted date.
- Open associated Vacancy records directly from this report, then open Shortlist records from drill-through pages.

Summary of Vacancy Pipeline
Progress page
1 Headline cards show total numbers of Active Vacancies, Active Positions for those vacancies (there may be more than one position available per vacancy) and Active Pipeline Value for those vacancies.
2 Each of the four column charts can be used to refine the list of vacancies shown in the table below. To select more than one filter across charts, hold Ctrl and click, e.g. 'part time roles at interview status'.
3 Additionally, filter by Vacancy name (only one can be selected at a time).
4 Results include: Vacancy name, positions remaining (that have not been converted to a placement), client name gross profit, how many days ago the vacancy record was created, how many days since the last shortlist update, and a progress bar showing the furthest status reached by any candidate. Click the eye icon to open the Candidate tab of Vacancy record in Mercury. NOTE: Vacancies with all positions filled and at a Shortlist Status of Placement will still show on the results page until the start date.

5 Counts: the number of Candidates within each Shortlist stage (Submitted, 1st Interview, Further Interview, Final Interview, and Offer).
6 Days to: the number of days it has taken to get to the first instance of a particular Shortlist stage, starting from the date the Vacancy was created. For example: if the first Vacancy ('Mediator) was created on 1st January, the first submission was made 3 days after the vacancy creation (4th January), and the first interview was arranged 6 days after the vacancy creation (7th January).
Shortlist Drillthrough page
This page can be accessed from either page of the Vacancy Pipeline report (Progress/Stat toggle) by right-clicking a vacancy > Drill through > Shortlist Drillthrough
1 Headline cards show number of days to first submission, first interview, and first offer, counting from the Vacancy Created Date.
2 Vacancy and Shortlist data
3 Candidate Shortlist information relating to the Vacancy. Click the eye icon to open the Shortlist record in Mercury.
4 Progress of Candidate through Shortlist stages including dates. If a stage is skipped, no date will be shown. For example, if a Candidate had a First Interview then a Final Interview, there will be no date against Further Interview.
5 If a Candidate is rejected, the progress bar will be grayed out and a Rejection Reason may be given.
Filtering
Exclude Spec Vacancies
On the Vacancy Pipeline, one filter is automatically applied, showing as a '1' marker on the filter icon: This is under Basic filters > Exclude Spec Vacancies. This is set to No, meaning spec vacancies are shown by default.
Filtering via column charts
To select more than one filter across charts, hold Ctrl and click, e.g. 'part time roles at interview status'. Selected filters will remain blue, other bars will turn a darker shade, and the total number of results will show above the bars.
For example: this selection will show vacancies where the last shortlist update was 30+ days ago, where the furthest vacancy status reached is 'Interview'. The total number of records that fit this criteria is 141.
Report Summary
Utilize data from vacancy timelines and classifications to identify vacancies that need attention, prevent roles from going cold, surface risks in the pipeline, and prioritise the vacancies that require action first.
Search vacancies by these filters or by vacancy name and easily access the associated Vacancy records within Mercury.
Toggle between Progress and Stats pages to view the furthest Vacancy and Shortlist statuses, respectively.
Glossary of terms
Headlines
Active Vacancies - Count of all active vacancies
Active Positions - Count of all active positions (there can be multiple positions available within a vacancy)
Active Pipeline Value - The sum of the Gross Profit for all active vacancies (does not take into account multiple positions)
Column charts
Vacancy Age (days) - Number of days a Vacancy record has existed; organised sections include 0-7, 8-30, 31-60, 61-90, and 91+ days
Last Shortlist Update (days ago) - Number of days since the last shortlist update of any status was made; organised sections include 0-2, 3-7, 8-14, 15-30, 31+, and N/A if applicable
Vacancy Furthest Status - The furthest status reached within a vacancy; 'Placement' may show as a status for an active vacancy for a few reasons: a vacancy may have multiple positions with some at a placement status and some still within the vacancy pipeline, or a vacancy may be at a placement status but the Start Date has not passed yet.
