When setting up approvals on the a Timesheet Templates (these are likely to be created for you by an internal System Administrator), there is the option for the client to approve the timesheets, for you as an agency to approve timesheets or to have a two stage approval process, which goes to the client first and then the agency does a final check.

If you choose to have the internal step as part of the timesheet sign-off process, it is named 'Validation' in Mercury.


Rejecting a Timesheet

Once the candidate has submitted their timesheet, it will be displayed in Mercury with a status of 'Submitted'. You may be managing these directly from the Placement record but it is likely you will have created a dashboard to manage these.

Double click into the timesheet row (avoiding hyperlinks) to access it (below is accessing it directly from the Placement. Placement>Timesheets & Expenses tab>Timesheets section)
 

 

The timesheet record will display information such as the start and end date of that period, the current status, etc.

 

 

To review the time entered, click onto the Timesheet Lines tab.

The example shows a timesheet that has been set to be entered in daily units. For an hourly frequency it displays total hours in the 'Minute Units' column.
 


If you notice that there is an error, click back onto the General tab and change the Status Reason to Rejected.

 



Click Save to save your changes.

This will change the status of the timesheet to 'Rejected'.

This status will be reflected in the candidates portal and move the rejected timesheet entry from the 'Submitted Timesheets' section back to 'Unsubmitted Timesheets'.
 


The candidate can then adjust their hours and re-submit.
