When setting up approvals on the Timesheet Templates (these are likely to be created for you by an internal System Administrator), there is the option for the client to approve the timesheets, for you as an agency to approve timesheets or to have a two stage approval process, which goes to the client first and then the agency does a final check.

If you choose to have the internal step, it is named Validation in Mercury.

Approving (Validating) a Timesheet

Once the candidate has submitted their timesheet, it will be displayed in Mercury with a status of Submitted. If you have chosen to use the two-stage sign off process, an email will automatically be generated and sent to the approvers selected by the candidate. Once approved, this will change the timesheet status to Approved. The agency will then be aware they now need to complete their check. If you have chosen to just set up an internal check only, the timesheet status will have a status of Submitted. The agency can now complete their check.

You may be managing these directly from the placement record but it is likely you will have created a dashboard to manage these.

Double-click into the timesheet row to access it.

The timesheet record will display information such as the start and end date of that period, the current status, etc.

To review the time entered, click onto the Timesheet Lines tab.

The example shows a timesheet that has been set to be entered in daily units. For an hourly frequency it displays total hours.

If you are happy that the time entered is accurate, click onto the Validate button on the top toolbar:

On the Timesheet General tab, it will show who validated and the date this was actioned:

This will change the status of the timesheet to Complete.
