A Financial Transaction contains payable and chargeable elements which can be made available to third party systems for invoice processing. These records can be grouped together and are flexible enough to have their own type, should you want to allocate them differently.

In the following scenarios, they are automatically created:

Timesheet with a status of Completed (when creating timesheets and using the Portal)
Expense with a status of Completed (when creating expenses and using the Portal)

The Financial Transaction will always be accessible on the Related tab of the record it has been created against. It has a Unique ID.

The pay and charge units will be displayed on the Value tab:

On the Integration tab, references can be added. Once the Financial Transaction is exported, it will be time stamped and be given an export status (the below section is repeated regarding the charge):

Financial Transactions can be exported from the Admin tab. You must have the permission to access this:


Select the entries you wish to export and then use the Export Selected Records icon to download the report. You must have the appropriate permissions set to export data within Mercury.
 


Financial Transactions and Timesheets (manual entries, no use of the Portal)

If you are not using Mercury to manage your timesheets but want to enter them against the Placement so that all transactions are captured, this can be actioned on the Placement.

On the top ribbon, there is an option to Add Transaction:

Click on this and the following will appear:

A purchase order can be linked to the transaction.

Click on Timesheet:


Select the correct rate. Add the Units. As an example, if the timesheet is for one week and the rate is daily and the Candidate has worked every day, add in 5 Units.
Complete the other fields and select the tick at the bottom of the page to complete.

Continue through and confirm. The following message will appear:
