The Further Info tab can be useful for storing additional information about the contact.
1. Contact Methods
Off Limits: A feature that can be used to set up an alert for your colleagues, e.g. there may be a Non-Poaching agreement in place.
Select from the list and save the record to apply this. Anyone can update this field and it can be removed when needed.
New Off Limits options can be created by your System Administrators.
NOTE: Off Limits is set against a Contact, the Sales Emails toggle will automatically update to No. This is to because it is likely if you are setting a Non Poaching or Do Not Approach against a person, that you will not want to be sending them mailshots. Once the Off Limits is removed, it will automatically toggle back to Yes.
Preferred: select the contact's preferred method of contact.
Last Campaign Date: Campaigns can be run via Click Dimensions. This is a marketing automation software solution. For more information, please speak to your CSM.
Marketing Materials: This is simply a way to log that this person does/does not want to receive any marketing that you send out, such as mailshots about the company or brochures.
Sales Email (candidate): This toggle is set to Send by default, meaning the Contact will receive mailshots. If the Contact advises they don't want to receive mailshots, toggle to Don't Send.
Sales Email (client): This toggle is set to Send by default, meaning the Contact will receive mailshots. If the Contact advises they don't want to receive mailshots, toggle to Don't Send.
Email: An email that is being sent as Single, meaning to just that one contact (typically sent to the contact directly from their record). This toggle is set to Send by default. If a single email is sent to this Contact via Mercury, they will receive this email. If the Contact wants no email contact, change to Don't Send.
Do Not SMS: If the contact does not want to be contacted via SMS/text message, toggle this to True.
Email Limit Tracker: This will list the Email Limit Tracker for this contact.
Email Limit Definition: A limit can be put against the number of emails sent to a contact in a set period.
Originating Lead: If you are using Microsoft Dynamics 365 to capture leads, this will list where the Lead record originated from. This is useful for reporting purposes.
NOTE: All emails sent via Mercury are still in stored within Outlooks Sent items.
2. Personal Information
This can be used to store additional information. Anything that has a key symbol (Gender, Birthday, Ethnicity, and Religion fields) indicates sensitive data that you require permissions to see and update.
3. Data Request / Data Removal
The Data request and Data removal request options, in the top navigation bar can be used to log if a contact has requested either of these to be actioned.
- The dates will automatically be logged and there is an entry on the timeline. The due dates will automatically be calculated.
- There is a Data Protection Officer Dashboard which can be given to your DP Officer.
- They can then manage this and update when they have processed the request.
NOTE: An automatic email template may go out to the Contact upon using this feature. Please check with your CSM. If it is created and already been sent, the email will appear in the Timeline with a status of Closed. If the status is Active, this means the email template is a draft email and needs to be sent manually.
4. Professional Information
Add in additional information to further complete a Contact record.
