What
The purpose of this article is to explain how to validate a Candidate's CV effectively via Daxtra Capture. Please see Parsing Candidate CVs using Daxtra Capture to see how this is done from a user-side from email to CRM.
Where
Daxtra Parser software integration with Mercury.
How
Please contact your System Administrator for details on the email address to use when sending a CV to Daxtra. Depending on your user privileges, users will have different levels of access on Daxtra.
🎞️ Video tutorial
Once your CV has been recognised by Daxtra and has been parsed, additional information is shown within the selected spool (in this example. cv@), see below for an explanation of each:
1. Category Definitions
Successfully Loaded: The Candidate has been loaded into the CRM.
Successfully Updated: A record in CRM already exists with the same details - Daxtra has updated that contact entity and sent the CV to that contact in Mercury.
Missing Information: These documents have been processed by Daxtra Capture system, but the automatic extraction software did not find enough information to create new records. Contact records must include a first name, last name, and at least one form of contact.
Possible Updates: These documents have been identified as potentially similar to already existing records. No records have been updated, but they may contain more up-to-date information than is currently stored and must be manually checked.
Failed to Load: These documents failed to load, but otherwise appear to be perfectly good. The most frequent reason for this is when Daxtra Capture system temporarily looses connectivity.
Failed to Process: These documents failed to be processed at all by the Daxtra Capture system, usually because their format could not be identified or sometimes because there was a temporary fault with Daxtra Capture processing engine.
2. Additional Actions Definitions
Commit: This should never be clicked for a CV with a status of Successfully Loaded - resends already parsed CVs to Mercury again.
Customise: Takes you to the ‘Loading’ tab within the Admin section, allowing you to change how the Update records are processed for this spool.
Discard: Removes the CV from Daxtra.
Reprocess: Reprocess the CV into Daxtra. This appears alongside the Missing Information status. The Daxtra Administrator would need to review CVs to ensure their accuracy.
Check Connection: Ensure the connection to Mercury is good.
3. Recommended Actions Definitions
Flush in this scenario means you are happy with the current parsed CVs, and to flush them would remove the CV from being validated; essentially, removing the logs from Daxtra - this cannot be undone.
Validate: Clicking on the Validate button will take you to the first record in the Missing Information queue to be checked and validated, by supplying the information required from the CV.
Resubmit: Should previous issues have been resolved due to temporary or intermittent connection failures, the resubmitted Candidates may now be successfully processed as new or updated Candidates. We would advise to contact Mercury Support if a CV has not appeared in your CRM but is appearing with this status.
Discard: Removes the CV from Daxtra.
NOTE: Not all users would see this view - it is limited to only Mercury Support, however, some users are able to bulk process CVs dependent on privileges
Example: Validating a CV with Missing Information
To validate a CV click on the Missing Information magnifying glass.
This screen will show all CVs which are showing a status of Missing Information. The Spool is where the CV is currently sitting in. Click on the Validate icon of the selected CV.
This will bring up the CV of the Candidate in question. Please bear in mind that to create a Contact in Mercury, the CV will require: First Name, Last Name, Address and a form of contact.
1. Fill in information by typing it into the text boxes on the right, or highlight the text within the CV and select from the drop-down menu to save typing and/or typos.
2. You must click Dedupe first. Dedupe is a process where Daxtra looks for duplicate contacts that already exist in CRM and allows the user to compare CVs to establish if this is the same contact.
3. Then click Commit to send this CV to Mercury.
Additional information:
- The Discard button remove the CV from Daxtra - this action cannot be undone once clicked.
- The Skip button skips past this CV and moves on to the next CV.
- In the top navigation bar, you will see sections of the CV, e.g. Personal, Additional, Summaries, etc. Click into these sections and Daxtra will display the sections of the CV it has parsed.
