How to control whether Mercury automatically sends Sales emails to Candidates. A sales email in Mercury is:

  • Emails with a Template which is marked as Sales Email
  • Emails sent from Mercury Search
  • Emails sent from the Email Editor where set to Multiple

Q: Are emails prevented from being sent automatically to Candidates that have an active placement? I want to start a project of contacting candidates to update their details and don’t want to upset a lot of candidates we have working on contracts for us or have placed in permanent roles.

A: When a Candidate is placed, Mercury auto-sets the Sales Email switch to 'Don’t Send'. When their Placement ends, Mercury auto-sets it back to 'Send'.




Q: Can we update ‘Sales Email’ to 'Don’t Send' manually?

A: Yes, go to a Candidate record > Further Information tab > manually switch the 'Sales Email (candidate)' field to 'Send' or 'Don’t Send'. 

Q: Regarding the ability to manually change the Send/Don't Send switch - is there any workflow rule built into Mercury that could override the manual change? I.e. reverting back to 'Don’t Send' if the Status is ‘Active Placement’? I would be concerned that we are going to miss sending these emails to candidates we may have placed in a permanent role 5 years ago, for example.

A: Once you’ve manually changed the flag, it will remain in that state until you consciously change the flag again manually, or if you enable a custom-built workflow to change the flag status based on some kind of activity having taken place. The only time that the software, as a standard feature, auto-changes the flag, is if it was never changed from Send to Don’t Send, when it will change automatically based on Placement status.
