What
Log activities for one or multiple Candidates from within Search. Swap between a List view and Tile view for your convenience. For this article the Tile view will be used, but the functionality is identical in List View.

Tile View
From the tile view, there are a list of Options actions that can be done for each individual Candidate:
Where is the Options button in Structured Search Tile View?
When searching for Candidates in Structured Search, you may notice the Options button is not visible in each Candidate tile in order to save space. Simply click any of the Hide/Expand buttons at the bottom of the screen to make the Options button visible again.
List View
From the list view, there are two ways to action Options for either individual Candidates, or for multiple Candidates:
- Individual Candidates: Actions > Options
- Multiple Candidates: Select the tick boxes of any Candidates, or click the top tick box to select all Candidates currently loaded (the default view is 30, more can be loaded by clicking the Load More button at the bottom of the screen). Then click Add __ Candidates to List.
NOTE: To search for Multiple Candidates cannot have one Phone Call added to them.

When searching for Candidates in Structured Search, you may notice the Options button is not visible in each Candidate tile in order to save space. Simply click any of the Hide/Expand buttons at the bottom of the screen to make the Options button visible again.
Add to Shortlist
When adding Candidate(s) to a Shortlist, this can be done in the context of a Vacancy, or as part of a general search. Multiple Candidates can be added to a Shortlist at once in List view.
- If done via a Match to Vacancy Search, after adding a Candidate to a Shortlist, you will be given the option to save them directly to the Vacancy in context, or to another Vacancy Shortlist if required.
- As part of a general search, after adding a Candidate to a Shortlist, you must select the associated Vacancy. Search by All or My Vacancies by Vacancy title, Vacancy reference code, Hiring Manager, or Client.
Add to Hot List
When adding Candidate(s) to a Hot List, this can be done in the context of a Vacancy or as part of a general search. Both are done in the same way. Multiple Candidates can be added to a Hotlist at once in List view.
- Add to an existing Hotlist by typing in the text box and clicking on the Hotlist name.
- or, Create a new Hotlist by typing in a Hotlist same and saving it.
Add Phone Call
Add a Phone Call for a Candidate, which will then show up in their Timeline in both the CRM and in the Candidate Detail Card.
The Call To and As a fields are locked; and the Purpose and Subject fields are mandatory.
NOTE: The Mark As Complete default toggle setting is 'On', toggle this off if the phone call has not been made.
Add to Email List
Add one or multiple Candidates to an Email List. Take advantage of templates within the email editor to create meaningful emails quickly.
Select one or more Candidates to add to an Email List.
A new modal window opens where the email can be written before sending:
- Type in a subject header for the email relating to the content of the email.
- Select the purpose of the email from a drop-down list.
- Select the greeting type - this will apply across all emails sent.
- Choose from a template for the email body. In this example the additional text added in is in orange for clarity, and the template text is in black.
- Click Live Preview to see the whole email.
NOTE: If the email has multiple recipients, one name will be used in the live preview. This is just as a preview, each email will be addresses with the correct associated name when they are sent.
